KEEP AT HAND (a single folder, one person who knows where it is)

  • Licences and registrations, all in date
  • The last safety audit and the actions taken on it
  • Test certificates for pressure plant, lifts and lifting tackle
  • Registers: wages, attendance, overtime, accidents
  • PF and ESI challans for the last 12 months
  • Fire NOC and the last mock-drill record
  • Names of the person who deals with the Inspector and their back-up

On the day

  • Be courteous, and ask for the Inspector's identity and the authority for the visit.
  • Give what is asked for, and note what was taken.
  • Do not guess. If you do not know, say you will confirm.
  • Record the visit and any notice served in the portal the same day.

After

  • Log any observation as a notice, assign an owner and a due date, and track it to closure.

This is working guidance for your team, not legal advice. Confirm the details against the current text of the law and your State's rules before you rely on them.

Frequently asked questions

Do we have to let an Inspector in without notice?

Where the law allows an unannounced inspection, yes. Refusing entry is an offence in itself.

Where do I record a notice we receive?

In Compliance management, under notices. It gets a due date and an owner, so it is chased like any other obligation.
